Erasmus+ VET placement terms, and where each one lives in Minto

Intermediary organisation

Also: support organisation, hosting partner, Erasmus+ partner

An organisation in the destination country that finds host companies for VET students sent by schools abroad, arranges the practical side of the stay, and monitors the placement. The Programme Guide calls it an intermediary; the 2021–27 application forms call it a support organisation; most call themselves a hosting partner.

In Minto: This is who Minto is for. Your organisation is the tenant; your team are its employees.

Hosting organisation

Also: receiving organisation

The organisation that receives the mobility participants. For a VET work placement this is the host company itself, or the intermediary acting on its behalf. "Receiving organisation" is the Programme Guide term; "hosting organisation" is what most FAQs and intermediaries write.

In Minto: When you are the hosting organisation, Minto is your system of record; the host companies are your firms.

Sending organisation

Also: sending school, VET school, VET provider, applicant organisation

The school or training centre that selects the students, holds the Erasmus+ grant, and sends the group abroad. It signs the Learning Agreement together with the student and the hosting side.

In Minto: A sending organisation record. Its groups are internships; connect one by code so both sides see the same internship.

Host company

Also: host employer, partner company, placement company

The company where the student actually works during the placement. It provides a tutor, a workplace and the learning outcomes agreed in the Learning Agreement.

In Minto: A firm, with its workplaces, contacts, fields of expertise, call history and every placement it has hosted.

Mobility

Also: mobility flow, mobility project

One person’s stay abroad under Erasmus+, or the project that funds many of them. A VET learner mobility for a work placement lasts from 10 days to a year; ErasmusPro means three months or more.

In Minto: An internship: one group of students, travelling for one period, placed at host companies. Its status runs Requested → Approved → Prepared → Running → Finished.

VET

Also: vocational education and training, IVET

Vocational education and training. Erasmus+ Key Action 1 for VET funds learner and staff mobility for vocational schools and training centres.

In Minto: Minto is built for VET placements: work placements at companies, not university exchange.

KA121-VET

Accredited mobility projects for VET. An organisation with an Erasmus+ accreditation applies each year for funding under KA121 without writing a full project application.

In Minto: Minto does not manage the grant or the accreditation. It manages the placements the grant pays for.

KA122-VET

Short-term mobility projects for VET organisations without an accreditation. A project of 6 to 18 months, with a full application, for schools that send occasionally.

In Minto: Same as above: Minto tracks the placements, not the application.

OID

Also: Organisation ID, formerly PIC

The identifier every organisation needs in the Erasmus+ Organisation Registration System before it can appear in an application, including hosting and support organisations named by a sending school.

In Minto: Not stored in Minto today. Keep it in the sending organisation’s notes if you need it to hand.

Learning Agreement

Also: training agreement, mobility agreement

The document signed by the student, the sending organisation and the hosting side before the placement, setting out tasks, learning outcomes, monitoring and evaluation.

In Minto: Minto does not generate Learning Agreements. Attach the signed PDF to the intern; the placement, workplace and dates it describes live on the internship.

Europass Mobility

The certificate that records what a participant learned during a mobility, issued by the sending and hosting organisations after the stay.

In Minto: Not produced by Minto. The placement history it draws on is on the intern and the firm.

Beneficiary Module

Also: formerly Mobility Tool+

The European Commission’s reporting system where the grant holder records each mobility and submits the final report.

In Minto: Minto does not export to the Beneficiary Module. Its REST API and personal access tokens let you pull the placement data you report from.
